How we look after your family’s information.

Who looks after your information

Elizabeth Lindley, trading as Elizabeth’s Tuition Centre, is responsible for the personal information we collect. Our address is Higher Heights Farm, Heights Lane, Bingley, BD16 3AH. Contact Elizabeth at [email protected] or 07878 239027 about this policy or your information.

What we collect and why

  • Enquiries and waiting lists: your name, email address, contact number, your child’s name or school year, the tuition you are interested in and the message you provide. We use these to reply, arrange an assessment and discuss a suitable place.
  • Registration and tuition: pupil and parent or next-of-kin details, date of birth, school, attendance and learning information, and your terms and photo/video choices. We use these to organise and provide tuition and contact you about your child.
  • Optional support information: details you choose to share about additional needs, health or disability so Elizabeth can plan suitable support. Please share only what is relevant, rather than complete medical reports.
  • Newsletters: your email address and subscription/consent preferences. We only send marketing newsletters after you opt in. Enquiring or registering does not automatically subscribe you.
  • Website operation: technical information needed to provide, secure and understand use of the website, such as request logs and page-use statistics. Please do not put medical or sensitive information into general enquiry messages.

Our reasons for using it

We use parent or guardian information to take steps at your request and provide the tuition you arrange with us. Our legitimate interests include organising tuition, communicating with families, supporting pupils’ learning and keeping our systems secure, while respecting children’s privacy. We retain the financial information we need to meet tax obligations.

We ask for explicit consent before using optional health or disability information submitted through registration. You can withdraw that consent by contacting Elizabeth. We will discuss what support can be provided without the information; you can also contact Elizabeth instead of putting sensitive details into the form. Newsletter and optional photo/video use rely on your separate choices. Withdrawing consent does not affect use that was lawful before withdrawal.

Safeguarding, emergencies and legal obligations may require information to be used or shared on a different lawful basis. Those situations are considered separately and are not treated as permission to use information for marketing.

Who can access it and where it is stored

Elizabeth is the only ETC staff member with routine access to registration information. Registration forms are stored in our WordPress website database. We use Google Workspace for email and related business records. Authorised technical providers may access information where needed to host, maintain, back up or secure these systems.

  • Gladding Digital supports the website; hosting and server management use Katapult and SpinupWP.
  • Cloudflare provides website infrastructure and off-site backup storage.
  • Google Workspace handles business email and related records.
  • Twilio SendGrid delivers website emails through Gravity SMTP. Gravity Forms, FluentCRM and FluentBooking provide form, newsletter and booking functions within our website.

We do not sell your information. We may share relevant information with a school, local authority, safeguarding agency or emergency service where this is necessary and there is a lawful basis. We restrict what is shared to what the situation requires.

Some service providers operate internationally and may process information outside the UK. Provider data-protection terms and applicable UK transfer safeguards govern those transfers. How long we keep information

  • Enquiries that do not become pupils: six months after our last substantive contact.
  • Waiting lists: reviewed every six months. We check whether you still want a place and remove the details when you no longer do, or when we cannot establish a continuing need after contacting you.
  • Ordinary registration, contact and learning records: while your child attends, then twelve months after they leave, to allow for follow-up or a return to tuition.
  • Health and additional-needs information: reviewed while your child attends and normally removed within three months of leaving, unless we document a specific continuing need.
  • Newsletter information: while you remain subscribed. After you unsubscribe, we stop marketing and keep only the minimal suppression and consent information needed to respect your choice and demonstrate it.
  • Financial records: kept separately for the applicable tax period. This is normally at least five years after the relevant 31 January filing deadline for sole-trader records, or six years from the relevant company financial-year end for company records. We do not keep an entire pupil registration solely for accounting.
  • Safeguarding, accident, complaint and dispute records: handled separately. Their retention depends on the case, applicable safeguarding and legal requirements, insurer requirements and any school or local-authority agreement. A documented exception and review date prevent routine deletion while the record is still needed.

Elizabeth reviews retention monthly, including copies in WordPress, Google Workspace, downloads and paper records. We delete or anonymise information that is no longer needed. Where a shorter period is appropriate, we do not wait for the usual deadline.

Routine website backups expire after five days. Manual recovery backups are reviewed monthly and removed when no longer needed; any continuing need is documented and reviewed. Information awaiting expiry in a restricted recovery backup is not used for ordinary business purposes. If a backup is restored, recorded deletions must be reapplied before normal use resumes.

Your choices and rights

You can ask to see your information, correct it, delete it where applicable, restrict its use or object to use based on legitimate interests. You may also have a right to receive certain information in a portable format. These rights can apply to children in their own right; we consider the child’s understanding and the parent or guardian’s authority when responding.

Contact [email protected] to make a request or withdraw consent. We may need to check your identity. We normally respond within one month and will explain if an extension or an exception applies. You can unsubscribe using the link in a newsletter.

You can raise a concern with Elizabeth or complain to the Information Commissioner’s Office (ICO).

Cookies, links and changes

The website uses technical features needed for security, forms and administration, and measures website use. Third-party services or websites you choose to open have their own privacy and cookie information. We review this notice when our services or handling of information change and update the date above.
